What to Expect

During your initial evaluation, we will discuss your health history, lifestyle, and your current health goals.

The physical evaluation will be described and then conducted with your consent. A specifically tailored treatment plan will be collaborated with you based on findings in the physical exam and the clinical judgment of the physical therapist. The ultimate intention is to best meet your needs and help you achieve your goals.

Payment policy:
By Design Physical Therapy is a fee-for-service clinic. This means that payment is due at the time services are rendered and we will not bill your insurance company.

ACCESS PHYSICAL
THERAPY

In California, you do not need a doctor’s referral to see a physical therapist. Californians have had Direct Access to physical therapy since 2014. In most situations, you can be evaluated and treated by a licensed physical therapist without first seeing your physician for a referral. Once you have used Direct Access with a physical therapist, you are required to obtain a physician’s referral to return for more treatment in the future.

Direct Access provides a number of benefits. You receive quicker access to the treatment you need. Research shows seeing a physical therapist first can save you money. Going to physical therapy first, in many cases, will result in fewer overall treatment sessions. 

Direct Access in California does have limitations. You can only receive physical therapy for 45 days or 12 visits, whichever comes first. After the Direct Access period ends, you are required to visit your physician’s office to obtain a referral, prior to returning to physical therapy.

Menstrual bleeding does not compromise our ability to continue your session. In fact, it may be a good time for a session if we are learning about your period. If you feel uncomfortable with the exam while on your period, please note the cancellation policy. 

Yes! We love supportive partners! If you choose to involve your partner, they can help and support you in your healing journey. 

Yes! We fully acknowledge, support and celebrate motherhood. We do not want the lack of childcare to be a barrier to your access to getting the care that you need. Please, feel free to bring your children to the session if you feel it is in service of your healing journey. If you desire to have this time for yourself without your kids, we support your decision. 

At your first appointment, I may recommend a specific number of visits based on your uniqueness. Due to the variability in personal goals and presentation, the number of recommended sessions varies greatly. 

Our goal is to provide quality health care to all our patients in a timely manner. No-shows, late arrivals, and cancellations inconvenience not only our providers, but our other patients as well. Please be aware of our policy regarding missed appointments and late arrivals.

**Reminder texts and emails are provided as a courtesy to you. These reminders are computer generated and may not be error free, but these instances should be very few, if at all. Ultimately it is your responsibility to know when your appointments are scheduled. A no-show or late cancel fee will still be applied if you say you did not get a reminder.

**While we do understand that illnesses and family emergencies can arrive suddenly, we still appreciate 24 hours advance notice, if possible. If you are ill or have a family emergency the morning of your appointment, please notify us as soon as possible. 

Appointment Cancellation/No-Show/Late Arrival

Cancellations: We know your time is valuable, and ours is too. Out of respect for our staff and our other patients, we ask that you give us at least 24 hours notice (1 full business day) if you need to cancel an appointment.

  • Any cancellation or reschedule made in less than 24 hours of scheduled appointment will result in a cancellation fee of $50.

No-Shows: A “no-show” is when a patient misses an appointment without canceling. In this case, we will charge the patient the full amount for the appointment missed.  

Late Arrivals: If a patient is late to the appointment, the patient will have the remainder of time available in their originally scheduled appointment slot. 

If for whatever reason, 2 consecutive no-shows occur, it is at the discretion of the physical therapist and may result in the cancellation of all your remaining scheduled appointments, as such failures may negatively impact your treatment plan.

How to Cancel Your Appointment

If you need to cancel your appointment, please call us at 805-557-8957 between the hours of 8am and 5pm. We will return your call as soon as possible. 

We are an out-of-network provider for insurance plans. We can provide you with a superbill for you to submit to your insurance company for reimbursement if your insurance covers out-of-network physical therapy services. We cannot make guarantees regarding what reimbursement your plan allows. 

Benefit Information (PDF)

We are NOT a contracted Medicare provider and at this time, federal law prohibits physical therapists that do not contract with Medicare from treating Medicare Part B recipients, regardless of payment method. We are also unable to provide physical therapy services to Kaiser Permanente members at this time. However, anyone may receive Reiki services, regardless of insurance provider.
